From signup to approved

Signup to first load in five steps

1
Sign up with your company email

Create your login in the Carrier Portal. Type your DOT number and your legal name, entity type and authority details auto-fill from FMCSA — no re-typing federal records.

2
Run the 5-step onboarding wizard

Company → equipment & preferred lanes → dispatch preferences → payment (verified bank for direct pay, or your factoring company with the NOA) → e-sign the dispatch agreement and W-9 in-app (E-SIGN Act).

3
Upload your documents

COI straight from your insurance agent, operating authority letter, and anything else on your checklist. Phone photos work — the built-in Scan-to-PDF turns pages into one clean file.

4
Same-day review

LoadBoot checks your authority status against FMCSA, the insured name against your legal entity, and every expiry date. Each document runs Uploaded → In review → Approved on a visible tracker.

5
VERIFIED — booking open

The badge lands on your profile, compliance gates open, and the board shows loads with the full rate card in writing. Book in one tap; the trip runs itself.

Have these in hand

The documents to have in hand

Active MC / USDOT authority

“Authorized for Property” and for-hire. New authority is welcome — no minimum age on your MC. See authority & DOT setup.

Certificate of Insurance

From your agent: $1M auto liability and $100K cargo is the standard brokers expect. The insured name must match your authority exactly — the #1 rejection reason industry-wide.

✍️

W-9

Have yours ready — or skip the paperwork and e-sign one in-app; the PDF generates instantly.

🏦

Factoring NOA letter

Only if you factor: the Notice of Assignment from your factoring company. LoadBoot verifies it and routes broker payments to your factor automatically.

🏦

Bank verification

Direct pay: a voided check or bank letter so your remit-to is verified before the first settlement.

🚛

Driver credentials

Fleet? CDL and medical card per driver — expiry tracking watches them so a lapse never surfaces at a roadside inspection.

Everything lives in the document vault with expiry reminders — you upload once and get warned before anything lapses.

Inside the product

Real screens — verification you can watch

Compliance packet 10/10 verified with business profile from approved authority and W-9
The compliance packet — 10/10 verified, legal identity locked from your authority.
Document vault — MC/DOT authority and COI approved with visible review trackers
The vault — every document on a visible Uploaded → In review → Approved tracker.
Pass review the first time

Why applications bounce — and how not to

Expired or misnamed COI

Certificates that lapsed, or an insured name that does not match the authority. Ask your agent for a current COI in your exact legal name before you upload.

Authority details that do not match FMCSA

LoadBoot reads the federal record; if your entity changed, update FMCSA first so the records agree.

Factoring set up without the NOA

If you told us you factor, brokers pay your factor — but only once the NOA letter is on file and verified. Upload it with the packet.

Blurry phone photos

Use the built-in Scan-to-PDF — it crops, straightens and bundles pages so reviewers can actually read them.

Questions

Carrier account FAQ

How long does approval take?

Most carriers are verified the same day once documents are in. The tracker on each document shows exactly where it is.

I have brand-new authority — can I join?

Yes. New-authority carriers are a core part of who LoadBoot serves; there is no minimum authority age. Start with the authority setup guide if you are still filing.

What does it cost?

The account is free. LoadBoot earns a flat 5% only on loads it books for you — see pricing.

Do my drivers need their own accounts?

They get magic-link invites from your fleet roster — one tap on their phone and their trips, navigation and document capture are ready.

What happens when my COI expires?

The vault warns you before expiry. If a required document lapses, booking gates pause until the fresh one is approved — problems surface before a load, never during one.

I use a factoring company — anything extra?

Just the NOA letter. Remit-to routing, per-broker control and the funding packet are built in — see factoring & NOA.
